To streamline the process of note signing in Osmind, we've implemented features that automatically populate your signature and ensure only designated providers are listed in the 'Rendering Provider' field. This guide also provides troubleshooting tips for common issues related to note signing.

  1. When providers sign a note, your signature and name from your 'Personal Settings' will auto-populate onto that note.

2. The 'Rendering Provider' field in the note, superbill, and claim shows only users that have the 'provider' role. For more on how to set User Roles, see this article.


Troubleshooting Tips

1. Issue: If multiple providers are sharing a login, you'll run into friction when signing notes as you can no longer type your name.

  • Resolution Steps:

    1. Save the note without signing.

    2. The practice's user admin should add each provider as a separate user under the team management settings. For more on how to set User Roles, see this article.

    3. Invited providers must accept their email invitation and join as users.

    4. The new provider can then open the saved note and sign it.

2. Issue: Missing Name and Credential for Provider.

  • Resolution Steps:

    1. Save the note without signing.

    2. Update your name and credentials in your personal settings.

    3. Reopen the saved note and sign it.

3. Issue: Provider Not Listed in Rendering Provider Dropdown.

  • Resolution Steps:

    1. Save the note without signing.

    2. The practice's user admin should update the user's role to 'provider', if appropriate. For more on how to set User Roles, see this article.

    3. The user can then reopen the saved note, update the Rendering Provider, and sign it.


FAQs

Can I delete a signed note?

  • No. Once a note is signed, it is part of the patient's medical record.

How do I see how many unsigned notes I have and which ones still need to be signed?

  • From within a patient's note list, you will see the 'unsigned' badge to the right of the note.

  • To see a practice-wide view of your unsigned notes, navigate to the Reports tab at the top your main Osmind page, click 'Notes' and add filters as needed (e.g. date, filter by unsigned, etc). You can click the patient's name directly from this page to open their list of Notes, and finish signing it.

Is signing a note permanent?

  • Signing a clinical note is permanent and cannot be undone. We recommend that you carefully review and verify the information in a clinical note before signing it, as the information in a signed clinical note becomes part of the patient's permanent medical record. An Addendum can be added to signed notes.
